EHCP meeting checklist: prepare, bring, follow up
Meetings about your child can feel rushed and overwhelming. A little preparation helps you stay calm, make your points and leave with clear actions.
Before the meeting
- Ask who will be there and what the meeting is for
- Ask for any reports at least 2 weeks before, and read them
- Re-read the current plan or support plan, marking what is out of date
- Write your top three points on one page
- Print a summary of your diary from the last few months
- Ask your child for their views, or bring something they made
- Consider bringing a partner, friend or SENDIASS adviser
What to bring
- Your evidence pack or diary summary
- Copies of key reports and letters, in date order
- Your list of points and questions
- A notebook, or ask if you can record the meeting
Questions worth asking
- What exactly will be done, by whom, and how often?
- How will we know if it is working?
- When will this be reviewed?
- Who do I contact if it is not happening?
- When will I receive the notes or the amended plan?
After the meeting
Send a short email the same day summarising what was agreed, who will do what, and by when. Keep it factual and polite. It creates a dated record that everyone has seen. Then log the meeting in your diary. There is a ready-made follow-up email in how to email school about SEN. For your notes on the day, print our free meeting notes template (PDF).
For annual reviews, see our annual review guide for the timescales the council must follow.
