Terms of use
Last updated 1 November 2026
The short version
- EHCPlog helps you keep a record. It is not legal or medical advice and cannot promise any outcome.
- Your entries belong to you. Download or delete them whenever you like.
- The free plan is free for as long as we run it. Paid plans can be cancelled at any time.
- Your rights under UK consumer law always apply.
1. Who we are
EHCPlog (ehcplog.co.uk) is run by Gate Specialists Ltd, trading as EHCPlog[, company number NUMBER, registered office ADDRESS] ("we", "us"). Contact us at hello@ehcplog.co.uk. By creating an account you agree to these terms and our privacy policy.
2. What EHCPlog does, and does not do
EHCPlog lets parents and carers record daily observations about their child and produce a summary document (an "evidence pack"). It does not diagnose, assess, predict outcomes, or give medical or legal advice. Evidence packs are parent-kept records, not clinical assessments or legal documents. We cannot promise that any record will lead to an assessment, an EHC plan or any other decision. For advice on your situation, contact IPSEA, your local SENDIASS service or a qualified adviser.
Our guides and calculators give general information about the law in England. Timescales have exceptions, so always check the dates in your council's letters.
3. Your account
- You must be 18 or over and a parent, carer or someone with responsibility for the child you record.
- Keep your password private. Tell us straight away if you think someone else has used your account.
- You are responsible for what you write. Record what you have seen or been told, and avoid unnecessary information about other people, such as other children or named staff.
4. Fair use
Do not use EHCPlog for anything unlawful, to harass anyone, to try to access other people's accounts, or to disrupt or overload the service.
5. Your content
Everything you write stays yours. You allow us to store and process it only to provide the service to you. We do not look at your entries except where you ask us to help with a problem or the law requires it. You can export or delete your content at any time.
6. Free plan
The free plan includes the features shown on our pricing section and in the app, currently one child, unlimited entries and watermarked evidence packs covering up to 30 days. We may change what the free plan includes, and will give you at least 30 days' notice of any reduction.
7. Paid plans
Paid plans are not switched on yet. When they are:
- Prices are shown before you pay and include VAT where it applies.
- Subscriptions (monthly or yearly) renew automatically until you cancel. We will remind you before a yearly plan renews. You can cancel at any time in Settings, and you keep paid features until the end of the period you have paid for.
- Your 14-day right to cancel. You can cancel a new subscription within 14 days of buying it and get a full refund. If you ask us to start the service straight away and then cancel within 14 days, we may keep a fair amount for the time you used.
- One-off clean packs are digital content. At checkout we will ask you to agree that the pack is supplied straight away and that you lose the 14-day right to cancel once you download it.
- Price changes apply from your next renewal, and we will tell you at least 30 days before.
- If something you paid for does not work as described, contact us and we will fix it, or refund you where the law says so.
8. Availability and changes
We work hard to keep EHCPlog available and your data safe, but we cannot promise it will never be interrupted. Please download your data or evidence packs regularly, especially before an important meeting or deadline. If we ever close the service, we will give you at least 60 days' notice so you can download everything.
9. Our responsibility to you
We are responsible for loss you suffer that is a foreseeable result of us breaking these terms or failing to use reasonable care and skill. We are not responsible for loss that was not foreseeable, for business losses, or for decisions made by councils, schools, health services or tribunals. Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited under UK law, and nothing affects your legal rights as a consumer.
10. Ending your account
You can delete your account in Settings at any time. We may suspend or close an account that seriously or repeatedly breaks these terms. Unless there is an urgent reason, we will warn you first and give you a chance to download your data.
11. Complaints
If something goes wrong, email hello@ehcplog.co.uk. We aim to reply within 5 working days and to resolve complaints within 14 days.
12. Changes to these terms
We may update these terms, for example to reflect new features or changes in the law. We will tell you about important changes by email at least 30 days before they take effect. If you do not agree, you can delete your account before then.
13. Law
These terms are governed by the law of England and Wales. You can bring a claim in the courts of England and Wales, or if you live in Scotland or Northern Ireland, in your local courts.
